Entry-level administrative jobs are often described as office
junior, office assistant , or junior clerical assistant roles. These can be
part-time or full-time and are ideal as a first step into business
administration and office management careers. It may be that individuals take
on office junior jobs while carrying out further specialist qualifications.
Office juniors typically perform a wide variety of tasks, working
under the guidance of the office manager. These include distributing post,
filing, data entry, booking appointments, and preparing letters, research
documents and invoices. Knowledge of Microsoft Word, Outlook, Powerpoint and
Excel are often stipulations of the employer although some organisations will
provide training on these tools. Another responsibility will be answering and
directing calls and dealing with customer enquiries. Accurate and fast typing
will normally be expected. It will help when applying for an office junior
vacancy to describe past experience and to demonstrate an interest in the
business area in question. It may also help to demonstrate numeracy because
office juniors could be involved in managing and maintaining budgets and handling
petty cash.
As well as possessing IT skills office juniors will have
organisational and presentation skills, and be able to multi-task and work well
under pressure. Those who do well are able to
handle several projects at once. Specialist sectors such as law and
medical, will require office juniors and admin assistants to have specific
qualifications, or at least an understanding of the sector jargon and accepted
procedures.
The salary for an office junior post is likely to be around £11,000 per annum
upwards, and benefits will vary between sectors and organisations. Hours for a
full-time office junior role will typically be 37 hours per week. With flexible
working becoming an option for many employees in the UK today, there may be the
chance to work part-time or as a job share. Unfortunately home-working is rarely an option for office juniors, as their roles require a presence on site to support the smooth-running of their
department or the organisation as a whole.
