Team Assistant - Asset Manager

Permanent full-time role

Our client is an international asset management firm with a global presence. They seek to add a Team Assistant to work alongside the Executive Team.

We are looking for a capable and switched on Team Assistant to support a busy team covering elements of Hum Executive Team diary management. In this role, you will be privy to highly confidential information, so discretion is key. The ideal candidate must also be flexible and be able to work outside of the given hours should something last minute arise. Candidates must be polished and articulate. Preferably with a degree or equivalent.

The Role

Act as the point of contact between the Managers and internal/external parties
Screen and direct phone calls and distribute correspondence
Handle requests and queries appropriately
Manage diaries for the Executive team
Manage travel arrangements
Take minutes
Produce reports, presentations and briefs
Devise and maintain office filing system
Cover all manner of expenses for senior executives
General administrative duties : typing, photocopying, organizing lunches, printing, binding, updating PowerPoint and Excel
Dealing with important individuals : face to face/ phone
Ability to manage meetings/diary in different time zones

The successful candidate will ideally have:

Preferably two years’ experience of working as a Team Assistant or similar, in an SME financial services organisation
The ability to work across multiple time zones
Able to scrutinise own work to ensure absolute accuracy in everything that goes out internally and externally
The capability to work in a very fast paced and demanding environment
Exceptional communication skills with the ability to liaise with senior executives inside and outside of the business
The ability to be proactive and manage own tasks
Ability to work to tight deadlines, multitask, and work under pressure
Strong IT skills, especially MS Office (PowerPoint, Outlook and Excel)
