Senior Secretary/PA to Managing Partner – Gatwick – Permanent – up to £32k per annum (DOE)

Our client, a leading financial services specialist is looking for an experienced Secretary/PA to support the Managing Partner of their Gatwick office.

This is a fast-paced role within busy office environment. The role supports not only the MP but also the wider team and Directors.  No two days are the same in this role, offering a dynamic and changeable remit.

Responsibilities of the role:

  • Acting as gatekeeper for the MP, being point of contact in absences
  • To take responsibility for the Health & Safety functions, including carrying out desk assessments, new starter inductions etc
  • Provide secretarial and administrative assistance, including project support
  • Manage the MP, Directors’ and Team diaries and arrange meetings, conferences, team events
  • Booking travel and accommodation, as and when required
  • Draft letters and respond to external invitations.
  • Liaise with clients as appropriate
  • Screening telephone calls, relaying accurate messages in a confidential manner
  • Internal and external events management including supplier, venue and budget management
  • Marketing Support
  • Completing expenses paperwork for partners/managers
  • Taking minutes at internal meetings as required
  • Line Management of the Secretarial and Admin Team
  • To be involved and help chair the administrative monthly meetings with the team
  • HR and Recruitment support
  • Billing and provisioning for partners and manager, accounts support, invoicing and credit control, as and when required
  • Document management, typing meeting notes/copy typing

 

What is required:

  • Proven working experience of providing senior support to key individuals and a wider team
  • Experience of supporting Senior Management and/or Partners
  • Line management experience
  • Audio and copy typing
  • Excellent communications skills
  • Strong team working ability
  • Ability to work co-operatively and effectively within the team and the organisation
  • Ability to manage multiple tasks simultaneously, solve problems, manage and meet the deadlines and maintain a high quality of work
