Job description

Senior Personal Assistant / University PA required for University based in Central London. You will be the PA to the Pro Vice-Chancellor Dean’s Office, Faculty of Humanities, Arts and Social Sciences.

 

We are looking for a motivated and proactive Senior PA to support the Pro Vice-Chancellor (PVC) Dean in providing full executive assistance, high-quality administrative services, secretarial support and who will effectively communicate and liaise with a wide variety of contacts and external organisations.

 

The responsibilities of the post will include: managing diaries, handling correspondence, organising travel, assisting in the preparation of documents, presentations and papers, preparing briefings for meetings and organisation of events.

 

 

Main Responsibilities include:

1) To manage the day to day operations of the Faculty Executive Office comprising the PVC Dean’s office. Responsible for managing the work flow and developing processes and procedures and managing a range of diverse administrative systems across the office.

 

2) First point of contact for the Faculty Executive office. Able to provide informed advice and guidance across a wide range of issues that come under the responsibility of the Dean.

 

3) Researching and routing correspondence, drafting letters and documents, analysing information. Making decisions on what the PVC Dean should see, what the post holder can deal with and delegating work to members of the Faculty Management Team.

 

4) Manage the PVC Dean’s email inboxes to highlight urgent emails and prepare replies on their behalf in accordance with University policies and procedures.

 

5) To coordinate travel itineraries for the Faculty Executive Office, including high profile external visitors and ensuring that travel abroad is planned and operated in accordance with the University policy and guidance.

 

6) To develop and maintain paper and electronic filing systems, including confidential files. Locate documents, files and correspondence at short notice.

 

7) A wide range of other responsibilities associated with a high profile Senior PA position.

 

Key Skills / Experience;

 

You will have significant experience of working as a PA / Senior PA within a busy and high-pressured, customer service environment.

 

You will be a bit of an all-rounder and have the confidence to deal with people at all levels. You may have previously been a PA to a University Dean / Professor/ Vice Chancellor or similar type of role.

 

You will have a very professional manner, coupled with strong interpersonal skills and will understand the importance of using tact and diplomacy at all times.

 

You will have a clear understanding of general business practices and extensive experience of performing secretariat duties including preparing agendas, papers and taking/transcribing minutes to a high quality.

 

You will be very organised with a high level of attention to detail and will have the ability to prioritise your work and use your own initiative.

 

Experience working in a similar role within a higher education institution is desirable.

 

You will also possess a wide range and mix of personal skills including:

-      Conscientious and hard working

-      Organised and comfortable in  working to very tight deadlines.

-      Resilient with the ability to manage multiple projects and priorities

-      Capable of working under own initiative.

-      Calm working under pressure
