The Company

We are recruiting for a Secretary for a 9-month fixed term contract for our client in Ipswich. This is for an excellent company, that is reputable, professional and has a fast-paced culture.

The Job

  • Checking team diaries and updating reception daily with staff locations
  • Arranging meetings in-house and offsite
  • Booking rooms, restaurants and conferences
  • Preparing expenses for the team and ensuring all information is correct before submitting to Finance
  • Maintaining staff sickness and absence records
  • Arranging team travel, hotels and car hire
  • Preparing mid-month fee account projections, raising fee accounts, creating debtors reports, updating pipelines and maintaining cash schedules
  • Maintaining information on I.B.I.S
  • Preparing, formatting and proof-reading documents and binding for presentation
  • Preparing presentations on PowerPoint
  • Creating ad-hoc letters, including copy typing and audio typing
  • Attending meetings and recording minutes

The Ideal Candidate

  • Minimum of 2 years' experience in an Administrative role
  • Audio typing and copy typing skills
  • Excellent knowledge of Microsoft Office
  • Strong verbal and written communication skills
  • Highly organised and self-motivated
  • Knowledge of Salesforce would be beneficial
