Job Description

Job Title: PA to Chief Executive

Employment Terms: 4-5 days flexible, Permanent

Reports to: Chief Executive

Purpose: To assist the Chief Executive in day to day duties, including managing and attending the committees overseen by the Chief Executive, manage her diary and book travel.

Grade: Salary from £24,607 pro rata, depending on experience

Our client is dedicated to advancing science, developing careers and supporting wider understanding of science and microscopy through its Science and Society activities. This is achieved through our publications and extensive programme of meetings, conference and courses, including our flagship event, Microscience Microscopy Congress (mmc), which is held at Manchester Central convention Centre, Manchester. The society is run by a small close-knit team of 13, who manage every aspect of the society’s activities from finance to publishing.

Key Responsibilities:

• Managing the diary of the Chief Executive
• Committee Administration - including booking venues, liaising with committee members, taking and distributing minutes, managing action points etc
• Travelling to and attending committee meetings within the UK
• Updating relevant pages on the company website
• Administration assistance for Chief Executive, including fielding calls and emails
• Booking travel and accommodation
• Managing expenses
• Assisting with ISO administration
• Organising small committee related events on behalf of Chief Executive
• Some event preparation and registration assistance

Other Responsibilities

• Travelling to and assisting at our flagship event, mmc, in July 2019
• Occasional travel to other events as support for team members

Essential Skills

• Experience of taking minutes
• Attention to detail
• Initiative
• Excellent verbal and written communication skills, good telephone manner
• Competent user of Microsoft applications including Word, Excel and Outlook
• Proven ability to work independently and manage own workload
• Experience of working as part of a team
• Ability to learn new software
• Excellent numeracy skills

• Experience of database applications
• Full UK driving licence
