Office Manager – £28k per annum – University of Warwick Science Park, Warwick

The Role

We are looking for a bright, dynamic and ambitious Office Manager, who will bring their organisational skills to our exciting team and support EBI as we help businesses solve their problems using our world leading data platforms and AI solutions. This is a perfect opportunity for the right candidate to take on a fresh challenge in a role at the heart of our business operations.

The key responsibilities of an Office Manager include, but are not limited to:

  • Bookkeeping responsibilities, including purchase ledger; sales invoicing; processing of purchase orders; payroll and benefits; VAT; sales forecasting; R+D cost administration; cashflow forecasting; bank account and credit card reconciliation; and expenses
  • Managing insurance contracts and suppliers; and rent and lease management
  • Performing HR responsibilities, such as holiday and sickness admin, processing people changes, administering documents, managing healthcare suppliers, performance review etc.
  • Managing the office, including liaising with the landlord, managing infrastructure suppliers, managing meeting rooms, managing telephone system etc.
  • Administering the GDPR process
  • Providing executive assistant support to the MDs such as booking travel, accommodation etc.
  • Organising company events

The key skills and qualities of an Office Manager:

  • Experience in a similar role, having worked with confidential data and understands GDPR processes as well as the importance of compliance
  • Strong organisational and time management skills with demonstrable experience of working to deadlines, prioritising work and managing a wide variety of demands from the business
  • Excellent communication and interpersonal skills, with the ability to work well with people at all levels, both internally and externally
  • Forward thinking, having a dynamic and agile approach to their work with excellent attention to detail, and always trying to improve their ways of working
  • Proficient in IT with excellent MS Office skills
