Office Administrator (Part Time) - Nottingham

Salary - Up to £20,000

Contracted Hours: This role is on a one year contract, working 28 hours per week, four days a week (Monday to Thursday)

Our client is a Trust based in Nottingham, looking to appoint an Office Administrator to play a key role in setting up and managing all office administration.
This role will undertake a variety of administrative, secretarial and financial tasks to help ensure the Trust operates effectively and professionally in delivering its core objectives of raising funds.

This role will support the Trust CEO and Trustee Board.

As an Office Administrator, your duties will include:

Managing the administration of all correspondence ensuring it is dealt with in a professional and efficient manner.
Inbox management, making sure all enquires receive a response.
Revising and keeping a suitable filing system for both paper correspondence and emails to ensure they can be easily accessed and maintained.

Diary Management
Booking diary appointments for CEO.

Meetings/ Document Management
Prepare meeting agendas, take minutes, and circulate action points to attendees.
Keep all relevant Companies House documentation and requirements up to date including completing yearly Annual Return.

Finance
Keeping a recording of all income and expenditure both in paper form (invoices and statements) and on Excel spreadsheet.
Filing and reconciliation of bank statements, making cheque and online BACS payments as appropriate
Payroll requirements

Fundraising
Manage and keep on top of engaging with Corporate Funders, renewing their annual contracts, etc.
Ensuring new Corporate Contracts are completed and provided to funders as appropriate
Follow up any fundraising opportunities as appropriate

Events
Preparing & circulating invitations
Booking venues, catering and ensuring the smooth running of event

Website management and maintenance
Ensure all enquiries to the website are responded to ASAP
Some knowledge of monitoring and maintaining Social Media and Facebook sites
To be a successful Office Administrator you will have the following skills and experience:
Extensive experience of office management in a charity environment
Strong office administration and IT skills, with experience of Microsoft packages, e.g. Word, Excel, Outlook, etc and good with database spreadsheets
Extensive experience of budget management and monitoring
Understanding of fund raising, experience of working in a charity fund raising environment
Experience of working with Trust Boards and a good understanding of their needs
Experience of creating an office function where little currently exists
Self-motivation, confidence, patience, determination and the ability to get on with colleagues and visitors
Effective organisational skills
Analytical and problem solving skills
Excellent time management, plus the ability to multi-task and meet tight deadlines
Able to use own initiative and be self motivating under minimal supervision.

In return, the Office Administrator will receive a competitive salary of £20,000 depending on experience.
