This Heating & Air-conditioning Company based in Kent are looking for someone to join their Service Team in the role of an Office Administrator. They are a well-established family run business working for blue chip clients looking for enthusiastic individuals to join the team.

The role will be based from their head office in Sittingbourne, Kent. Remote working will not be available.

Main responsibilities:
- Take incoming calls from clients, logging information onto their internal job management system and arrange appropriate attendances
- The Office Administrator is responsible for managing the job through until the end, ensuring all the appropriate information is accurately collated and relayed back to the clients after appointments
- Working closely with the Operations Managers and coordinating with the other members of the service team
- Updating and planning the schedules on a daily basis, ensuring all information is relevant, correct and legible
- Assisting with general administration tasks ensuring to demonstrate consistent attention to detail, we are applauded on providing an exceptional customer service and detailed client communications and strive to continue to provide this level of support going forward. They pride themselves to go over and above to meet their clients expectations
- Assist the managers in obtaining relevant information and cost details from suppliers to be able to provide quotations
- Reporting to the Operations Team along with Company Director's

Key duties:
- To maintain an outstanding level of customer service, to liaise directly with customers ensuring all queries are sufficiently answered and appointments are arranged and met
- Ensuring cost information captured on all jobs
- Work in collaboration with the accounts team assisting in dealing with invoice queries
- Coordinating with contracts managers and staff in arranging meetings
- Maybe a requirement to deal with out of hours telephone calls

About the Person:
- Need excellent organisational and communication skills
- Have great attention to detail and record keeping
- Have at least two years' experience working within a call centre/office environment
- To be able to work both on their own and as part of a team
- Good initiative and can work under pressure without compromising on standards and quality
- Good PC skills are a must along with knowledge of Microsoft programs such as word and excel as a minimum
- Self-motivated for self-development and learning
- Integrity and reliability
- Attendance and punctuality
- Professionalism
