Office Administrator – Salary £23,000 to £28,000 – Flexible Hours Possible - Crawley, Sussex

The Role

Focus Investment is looking for a capable and organised Office Administrator with experience in financial services to provide both clerical and administrative support to ensure the smooth running of the firm. You will be working as part of a team alongside the firm’s advisers to provide clients with a professional ongoing financial planning experience. In order to succeed in this role, you will have experience in financial services and office administration.

You will ensure that the firm’s clients are treated with professionalism and fairness at all times, complying with our Compliance, Training & Competence, Complaints and Data Security policies and procedures. This is an exciting opportunity to develop your career with a rapidly growing company.

The key responsibilities of an Office Administrator include, but are not limited to:

  • Monitor receipt of commission / fee payments from clients using Intelliflo business management software
  • Dealing with telephone and email enquiries; sorting and distributing incoming post and organising and sending outgoing post
  • Creating and maintaining filing systems and client files
  • Arranging meetings and book appointments
  • Update and maintain the firm’s diary system and records / registers, as required
  • Obtaining client valuations and reports from various platforms and product providers
  • Liaising with product providers and mortgage lenders, as and when necessary
  • Assisting advisers in the creation of client financial reports and letters
  • Maintaining a computerised customer database; managing, organising, updating relevant data using database applications; word processing various documents / electronic information

We provide independent advice on investments, retirement planning for both corporate and individual clients, protection, inheritance tax planning and savings as well as long-term care and equity release.

Our business is built on solid foundations. Drawing on our experience and knowledge we pride ourselves on providing ongoing professional advice to new and existing customers. Being independent means that we can offer advice from the whole range of products available. Our advisers are fully qualified, and some of us hold required qualifications for advising on pension or tax matters.

The Person

The key skills and qualities of an Office Administrator:

  • Good typing skills and computer literate with knowledge of the following software packages: Word, Excel, Intelligent Office
  • Has basic knowledge of the financial services sector and able to acquire detailed knowledge of the FCA’s and the firm’s record keeping requirements
  • Excellent written and oral communication skills in English
  • Strong methodical, organisational and report-writing skills
  • Accurate with a keen eye for detail

To be considered for the role, you will have minimum of 12 months Administration experience within Financial Services and have gained knowledge and experience of using investment platforms for processing business and servicing clients.

Experience of using Intelliflo business management software, Fact Finds and Risk profiles, along with holding some CII qualifications would be highly advantageous.
