Description

The secretary performs a wide range of secretarial, administrative and legal office procedures for all legal staff members. The position requires flexibility and excellent customer service skills as well as the ability to perform duties of a responsible and confidential nature. Secretaries must have the ability to organise and expedite work flow for all fee-earners and must maintain a professional demeanour at all times and in all situations.

  • Typing, transcribing of dictation, drafting and editing of text from manuscript drafts, amending and formatting documents quickly and accurately.
  • Composes drafts of letters, memos and faxes.
  • Proofreads and edits all work.
  • Answers and screens incoming calls. Ensures telephone calls are dealt with efficiently and professionally; taking messages clearly and concisely and ensuring all messages reach the intended recipient in a timely manner or arranging for another member of the legal staff or the department secretarial manager to assist the caller where appropriate.
  • Answers and directs complex enquiries to appropriate staff member or fee-earner. Keeps information confidential when necessary.
  • Arranges meetings and conferences ensuring all equipment and needs are covered. Makes travel arrangements and prepares business itineraries.
  • Drafts and finalises time entries.
  • Prepares and updates client and matter lists, telephone lists and distribution lists.
  • Opens new matter files and covers related administration and paperwork
