Receptionist / Facilities Assistant - London

An interesting job vacancy has arisen in our London office. I'm looking for a Receptionist / Facilities Assistant to join our team on a full-time permanent basis. The hours are 10.30am-6.30pm.

Our Facilities Services team are one of the many teams that keep our business running smoothly.  They make sure that we have a great office environment to work in and all the facilities we need to be successful.  This includes our catering facilities, reception teams, building maintenance, post room and operational support.  We couldn't function without them.

What will you be doing?

You'll start your day working with the Facilities Team. The Facilities Assistant role is a busy one and requires someone who is resourceful and organised.  Being a law firm we generate a lot of documents so you'll be required to deal with post room requests from our Lawyers and Support staff as well as external providers of postal and logistics services.  You'll need to be able to work to deadlines and enjoy interacting with lots of different people.

Essentially the role will involve processing all mail (incoming and outgoing), photocopying and scanning, as well as printing emails and other large documents.   There is some complex equipment – but don't worry we'll give you all the training you need.  You'll also assist the team with general duties involving the day to day running of the office from stationery orders and maintenance requests through to running errands and health and safety issues.

Moving on to Reception, your first task will be to facilitate a seamless transition from the morning/afternoon team. You'll then, as well as greeting visitors, be booking and coordinating meeting rooms, accepting and organising couriers, maintaining the visitor's log, ensure accordance with the firm's ISO procedures, take responsibility for ensuring all in-house functions run smoothly and generally supporting the wider office.

So, what are we looking for?

This is a key client facing role that requires expert communication skills, patience, attentiveness, a calming presence and the ability to think on your feet.  It goes without saying that we would like someone who has previous experience of delivering first-class customer service.  This roles gives you the opportunity to interact with people across the office, and it can get very busy so we need you to be able to juggle multiple tasks and organise your workload appropriately.  It would be fantastic if someone could bring experience of working within a corporate reception of a large professional services firm (or a 5 star hotel) but attitude, commitment and a client-focussed approach is far more important to us.

As a firm we're very hot on technology and constantly look to upgrade systems so you'll need excellent IT skills.  We are also looking for a natural 'forward planner', who is highly organised and pays attention to detail.
