An opportunity has arisen for an Executive Support Officer to join them to provide personal and administrative assistance to Directors, Assistants Directors and Senior Members of the management Team including the management of their diaries and the organising of meetings; ensuring the provision of a professional, high quality confidential service to all.
Providing efficient management of diaries including the arrangement of appointments, you will prepare the appropriate files prior to meetings and, where appropriate, brief key people on specific issues in advance of meetings. Making work, travel, accommodation and catering arrangements and dealing with all associated correspondence and administrative preparations, you must take accurate and meaningful minutes and notes and collate and format updates of reports for Executive and Senior Management team members.
You must also deal appropriately with incoming and outgoing mail, establish and maintain appropriate filing and recording systems and develop strong relationships with colleagues and teams at all levels of the organisation.
With a good standard of education and high level IT skills including Microsoft Office software (particularly Outlook, Word, Excel, Visco and PowerPoint), candidates should have good numeracy and literacy skills and have proven experience of taking accurate minutes. Able to establish effective and productive relationships across the board and with previous experience within a busy office environment, you must be capable of working to strict deadlines by prioritising and organising your own workload.
