Scope:

  • Works in a global animal health business environment
  • Reports to the Global Sales Director
  • Works in a team of Sales, Marketing and Technical directors and managers 

Responsibilities

  • Coordinates and manages the logistics of internal and external sales, marketing and technical events (sales conferences, distributor meetings, veterinary congresses, agricultural exhibitions, customer events, others), within the allocated expense budgets
  • Manages letters of invitation and obtains visa’s for foreign delegates (where appropriate)
  • Assists in planning and organising of internal meetings such as budget setting, forecasting, Technical Sales & Marketing (TMS) meeting - participating, minute taking and circulating as appropriate.
  • Communicates accurately and timeously on the status of above activities to the sales  marketing and technical staff
  • Orders ,tracks , organises and manages the distribution, storage and inventory of promotional marketing materials
  • Maintains a tracking system and manages the sign off procedure for the development of promotional materials
  • Makes reservations of hotels, transport for  head office visiting Sales, Marketing and Technical staff and visiting customers, partners
  • Makes reservations of required office conference rooms for Sales,  Marketing and Technical staff 
  • Coordinates and tracks the payments with the finance department of invoices originating from sales, marketing and technical activities
  • Coordinates and tracks the CAPEX process for Sales ,Marketing and Technical activities

  • Excellent  organisational  and planning skills
  • Solves problems  especially in urgent situations
  • Communicates to the  staff on the progress and status of activities
  • Accurate with attention to detail
  • Understands and works constructively with other functions in the company ( Finance, Business Operations,  Office Management, others as needed)
  • Manages and ensures allocated expense budgets are kept to
  • Has excellent and professional written and spoken communication skills in English,  a knowledge of other languages is an additional  advantage
  • Excellent at  Microsoft applications (Word, Excel, PowerPoint, Outlook)
  • Proficient  at Acrobat Adobe  and Sage

Experience

  • Must have experience in a similar function in an agricultural or Animal Health  Marketing or Sales organization
  • Experience in a similar function in an international, multinational company
  • Knowledge and proficient usage of desk top publishing is a significant  asset
  • A livestock agricultural background would  be beneficial but not essential
