JOB DESCRIPTION

Job Title:

Reports to:

Office Manager and PSA to National Chairman

Job Purpose:

To work to a consistent and professional standard providing administrative support to the National Chairman and London Office teams.  Working collaboratively as a member of the Business Support Team in the London Office, to ensure FSB business and all London office staff are supported in administrative areas.

Key Areas of Accountability:

 

Administrative  Support

·         Assist the Office Manager/PSA to the National Chairman with the management of the National Chairman’s electronic diary and Outlook inbox

·         Assist the Office Manager/PSA to the National Chairman with proof reading and preparing letters for the National Chairman to sign, including those being sent to Ministers and VIPs

·         Organisation of all electronic data into the appropriate drives/folders ensuring ease of retrieval for all relevant staff

·         Ensure that verbal and written communication with members, external organisations, politicians and the general public presents an image of an effective, professional membership organisation for business owners

·         Co-ordinate and book travel and accommodation for the National Chairman and other senior members and staff, ensuring best value for money

·         Send mass emails from time to time to MPs, Ministers, Peers, and key external stakeholders via mailmerge, as instructed by the Head of Public Affairs and the Office Manager/PSA to the National Chairman

·         Take accurate minutes and actions from internal and member meetings as and when required

·         Provide the staff of the London office with a consistently high standard of support in order to facilitate their effectiveness.

 

Event Management

·         Assist the PSA to the National Chairman with the planning, organisation and administration for policy and member related events in accordance with set standards (including but not limited to the annual Chairman’s Dinner and the annual Summer Reception at the Houses of Parliament)

 

Invoices & Expenses

Process the National Chairman’s expense claims, as well as for other senior members and staff on occasion, using the online Concur system

General

·         Provide cover (holidays etc) for all other members of the Business Support Team on an ad hoc basis

·         Undertake any other duties relevant to the Business Support Team’s activities commensurate with the level of post and as directed by the Office Manager/PSA to the National Chairman

Qualifications

·         Educated to GCSE level or equivalent including English and Mathematics

 

 

·         Evidence of continuing professional development and education

 

·         European Computer Drivers Licence or equivalent

 

·         Customer services certificates

 

Experience

·         Experience of working in a customer facing role

 

·         Can demonstrate working in an administrative role within an office environment

 

·         Evidence of working without close supervision

 

·         Experience of managing events

 

·         Experience in maintaining databases

 

·         Experience of managing administrative process for a small office

 

·         Worked with volunteers in some capacity

 

 

 

 

 

Knowledge & Skills

·         Is computer literate, and has a good working knowledge of MS Office particularly Outlook, Word and Excel.

 

·         Excellent communications skills, verbal and written with a high level of proficiency in dealing with written and telephone enquiries

 

·         Ability to plan, organise and prioritise workload to meet deadlines.

 

·         Has used a customer database previously

 

 

·         Experience with the Eventbrite system

 

·         Previous use of a mass email system including designing and logging emails

 

·         Speed writing/minute taking

 

Specific Requirements

Be willing and able to make occasional travel to FSB sites and attend events across the UK, which may include out of hours work

 

Be flexible regarding requirements to work outside of established work patterns to meet the needs of the organisation
